Job Description & Responsibilities

Main Responsibilities

  • Create the project bid book which includes the following:
    • Creating a bid list with at 4 or 5 subcontractors per trade.
    • Sending out the invitation to bid through email, fax, and a phone call.
    • Setting up a walk thru date with the landlord to coordinate the best time and to receive the site’s keys.
    • Collect all the bids and make sure that there are at least three subcontractors per category.
    • Once all bids are received review them and qualify all to make sure scope of work matches.
    • Enter all bids into the estimate spread sheet for Project Manger to review.
    • Estimate the carpentry, demolition, door installation, and any other category that is needed.
    • Complete a rough draft of the project proposal for Project Manger review.
    • Create a second bid book identical to the first for project manger review (if necessary)
  • Create a project subcontractor list for use by ELC site superintendent.
  • Assist Project Manager in the field on projects as may be necessary.
  • Receiving Contractor submittals for architect and superintendent review. (millwork, toilet accessories, HVAC, Plumbing, etc.)
  • Typing of project information sheet for site superintendent.
  • Assist in creating the project schedule. Once finalized sent out to all subs and provide a hard copy to the ELC Superintendent.
  • Create Subcontractor Contracts and Purchase Orders for Project Manger and Owner to review.
  • Schedule Village or City construction inspections for each project.
  • Collect 4-5 material quotes and order the materials for each project from the lowest supplier. Make sure the supplier is aware of the time of the deliver and the stocking conditions.
  • Receive quotes from various cleaning companies and schedule the post construction cleaning for each project.
  • Type the project punch list for Project Manger to review.
  • Provide the subcontractors not awarded the project with feedback on their proposals and thank for their efforts in bidding our project.
  • Fill out the permit application and call the Village/City to see what is needed to start the permit review process and see what fees are associated with it.
  • Organize project closeout documentation for Project Manger review.

Secondary Responsibilities

  • Assist with any other office duties that need to be done. Cleaning, running errands, mailing packages, filing paper work, ordering drawings.
  • Ability to produce AutoCAD drawings when needed.
  • Typing of meeting minutes for Project Manger review.
  • Coordinate rental equipment ordering and deliveries as directed by the ELC Superintendent or Project Manager.
  • Attend on site meetings and take notes to clear up any questions on the project and to assure the overall flow of the project continues without any major problems.
  • Ability to travel to job sites to perform Job Duties. (on a limited basis)
  • Perform research when we needed. ( finding a particular type of material, furniture, fixture, locations, new subcontractors, or a piece of equipment for a job)
  • Save bids and drawings in the proper location on the servers.
  • Responsible for fielding phone calls and emails in a friendly, professional manner with the ability to answer requests and assist with problem resolution.
  • Review project drawings and highlight new walls, doors, windows, millwork, and plumbing to help familiarize myself with the project.
  • Maintain an organized system for filing project contracts and documents.
